Cleburnes Division Insurance Requirements, Policies and Protocol
1. You MUST register for the event as Cleburne's Division/(Your unit name). You are only covered by the Insurance policy when your attend an event with your unit. Unfortunately the insurance company will not allow for individuals to attend and event and be covered where their home unit is not in attendance.

2. You MUST provide prior notice to the Division Chief of Staff, Your Brigade Chief of Staff (or commander), and your Battalion Commander of your intent to attend an event. Prior notice of your attendance in a requirement of the insurance coverage.

3. You MUST operate under the rules and safety guidelines set forth by Cleburne's Division (as are posted in downloadable format on the Division web site). This includes following to the letter the inspection and operation guidelines for infantry, the inspection and operation guidelines for cavalry and the explicit inspection, operation and safety guidelines for Artillery. All drill must be performed as directed by the documents in force for the Divison. Any violation or omission of any aspect of the aforementioned documents will void the insurance coverage for this incident.

4. You MUST provide a complete roster at the beginning of each calendar year containing the following information on those members of your unit who are seeking the insurance coverage: Name, full address (including city, state, zip) and an email contact. You must provide ALL of the information previously asked for in order for your coverage to be in effect. A downloadable roster blank is available on the Cleburne's Division web site or by emailing the Division Chief of Staff Mark Way at markway00@aol.com.

5. You MUST provide a intended shedule of events for the upcoming calendar year at the termination of your annual unit meeting. This list will be kept on file as reference of your intentions to participate in your local and regional events. Additional notification of your intention to attend one of these events during the course of the calendar year, along with any additional event attendance is covered in another section of this document.

5. You MUST complete your own weapon's inspection forms (downloadable from the Division web site) for small arms, artillery pieces, etc. and keep these copies in your file for a period of six months. These inspection reports should be done by the unit commander and kept by same EVEN IF the event command staff does a weapons inspection report.

6. While at the event you are required to drill every member of your unit before taking the field for the first battle. If the event organizers have not set aside time before the first battles for Individual or Battalion level drill you must make the necessary arrangements to ensure that your Unit/Battalion excutes a drill session before taking the field. It is necessary and proper to ensure that each member of your Unit/Battalion is well versed in both drill and safety policies before allowing them to take the field.

7. Members of Cavalry units should take special note of this section. The insurance covers you as a Cavalry Reenactor. It covers your horse while at a reenactment in the event that the horse lost control and cause bodily injury to another person or physical damage to property. The insurance will no longer cover you while MOUNTED. You are covered completely while upon the ground and functioning as a dismounted Cavalryman. The insurance company considers covering an individual while mounted upon an equine animal a higher risk and it is no longer part of the policy. Any injuries that you may suffer while NOT on a horse, or damages you may cause while NOT on a horse will be covered.

8. If you have personal health insurance you should file any medical claims against it as the primary provider. Subsequent monies owed for medical expenses after your primary insurance fulfills it's obligation and all deductibles have been paid will be considered for payment by the Division insurance provider. Documentation of all of the previous stipulations regarding primary health care insurance should be forwarded to General Joe Way. Please contact either General Way at jwaynfwb@aol.com or the Division Chief of Staff Col. Mark Way at markway00@aol.com.

9. Any instance of claim upon the insurance should be handled as follows:
      a. Immediately notify the Commanding General of Cleburne's Division, Joe Way, at 850.259.9463
      b. Completely document on paper all details concerning the incident, including who was hurt, what damage to property occured, what appropriate response to the incident was enacted. An incident report can be downloaded from the Cleburne’s Division web site.
      c. Keep all of this information confidential and forward same to General Joe Way as soon as possible.
      d. In order for the insurance company to properly perform their job, there should be NO statements made, either sworn or verbal, without the consent of the insurance provider.

10. In order for a unit to be eligible to apply for an Certificate of Coverage naming an additional insured you must meet the following requirements. This certificate of insurance can be procured through Cleburne's Division to provide liability insurance for an event that we, Cleburne's Division, sponsors. It is imperative that you understand all of the issues and requirements with procurring and using one of these Certificates of Coverage for your event. The insurance company is very strict in their wording and requirements and will commit to coverage as long as we are diligent and detailed.
      a. You MUST be a member of Cleburne's Division for a period of ONE CALENDAR YEAR before you are eligible to apply for additional insured certificates.
      b. Your event MUST be advertised and presented in all respects as a CLEBURNES DIVISION SANCTIONED event. (NO exceptions). This may in some cases present an issue with local municipalities and organizations who are part of hosting the event. Listing the event as a CLEBURNES DIVISION SANCTIONED event and advertising and presenting it as such is a non negotiable item, as per the insurance company. If the other organizations that are involved in the event in question are against any part of this stipulation insurance coverage CAN NOT be provided by Cleburne's Division or it's insurance provider.
      c. Your event MUST operate by all Cleburne's Division protocols, procedures and safety guidelines in the strictest sense.
      d. Cleburne's Command Staff MUST be utilized for the event in question without exception. The Cleburne's Commander of each event is expressly responsible for ensuring that all protocols, procedures and safety guidelines will be in force and followed explicitly at the event.
      e. You MUST provide to the Division Chief of Staff, all pertinent event information as follows. Omission of any of the information will cause a certificate to not be issued.
            1. Name of event, location (physical address of event site), date of event.
            2. Commanders which will be utilized.
            3. Name, address, and phone contact of any additional insureds which will be added to the Certificates.
             4. You MUST submit the sum of $45 (forty five dollars) in check or money order made payable to Cleburne's Division to the Chief of Staff as payment for the issuance of the Certificate.
            5. All information and money must be sent to the Chief of Staff at least 90 (ninety) days prior to the event in order to ensure timely issuance of the certificate for the event.
            6. A copy of the certificate will be sent to you (in scanned form) upon receipt of same at Cleburne's Division headquarters. Hard copy of the same certificate will be mailed on the same day that the scanned copy is sent electronically.

11. The members of the unit asking for a certificate for an event MUST HAVE also participated to the satisfaction of their Brigade Commander during the previous calendar year.

We must be diligent and detailed in all of these areas in order for us to maintain our Division insurance. Omission or neglect of any of the policies or procedures will void the coverage for you.

I hope that these protocols and procedures will allow your unit to have a safe and enjoyable event. If I can be of further assistance please do not hesitate to contact me.
